Terms of Service

These Terms of Service (“Terms”) govern your use of ocrmate.com and its image-to-text and image translation tools (the “Service”), provided by OCRmate (“we”, “us”, “our”). By using the Service, you agree to these Terms. If you do not agree, please do not use the Service.

1. The Service

OCRmate converts images and PDFs into editable text (optical character recognition, or “OCR”), including handwriting, and can translate text found in images. Some features use third-party AI and OCR providers, as described in our Privacy Policy.

2. Accounts

• You can use the Service without an account, within the free visitor limits.
• If you create an account, you must give a valid email address and keep your login details secure. You are responsible for activity on your account.
• You must be at least 13 years old (or 16 in the EEA and UK) to create an account.
• One person per account. Please do not share accounts or create several accounts to get around limits.

3. Free plan

The free plan includes a daily number of AI-processed pages, file size limits and advertising, as shown on our Pricing page. We may change the free plan’s limits at any time.

4. Paid plans and billing

• Subscriptions. Paid plans (Starter, Pro and Business) are subscriptions billed monthly or yearly in US dollars, at the prices shown on the Pricing page when you subscribe. Applicable taxes may be added.
• Automatic renewal. Your subscription renews automatically at the end of each billing period, and the payment method on file is charged, until you cancel.
• Page allowance. Each paid plan includes a monthly number of AI-processed pages. This resets on the 1st day of each calendar month (UTC), including on yearly plans. Unused pages do not carry over.
• Changing plans. You can upgrade or downgrade at any time from Manage billing on your Account page. Changes take effect immediately, and the price difference is prorated: you are charged or credited for the remaining time in your billing period.
• Cancelling. You can cancel at any time from Manage billing. Your plan stays active until the end of the period you have already paid for, and is not renewed after that.
• Refunds. Payments are non-refundable, and we do not give refunds or credits for partial billing periods, except where required by law. If you were charged in error, or a technical problem on our side prevented you from using the Service, contact us within 14 days and we will make it right.
• Failed payments. If a renewal payment fails, Stripe may retry it. If payment cannot be collected, your account returns to the free plan.
• Price changes. We may change our prices. For existing subscriptions, the new price applies only from your next renewal, and we will tell you at least 30 days in advance.
• Payment processing. Payments are handled by Stripe, and your payment is also subject to Stripe’s terms.

5. Acceptable use

You agree not to:

• upload anything illegal, or anything you do not have the right to use
• upload content that exploits or harms children, or that is hateful, harassing or violent
• use the Service to infringe copyright or other rights, or to violate anyone’s privacy
• try to get around plan limits, security or access controls, or use bots, scripts or automated bulk requests without our written permission
• interfere with or overload the Service, or attempt to reverse engineer it
• resell or offer the Service to others without our permission

We may suspend or close accounts that break these rules.

6. Your content

You keep all rights to the files you upload and the text you get back. You give us a limited permission to process your files only to provide the Service to you, as described in our Privacy Policy. You are responsible for making sure you have the right to upload and process each file.

7. Accuracy of results

OCR and machine translation are automated and may contain errors, especially with handwriting, low-quality images, unusual layouts or rare languages. Always check important results before relying on them. The Service does not provide legal, medical, financial or other professional advice or certified translations.

8. Third-party services

The Service relies on third-party providers such as Google, OCR.space, Stripe and our hosting company. We are not responsible for their services, and their availability can affect the Service.

9. Our intellectual property

The OCRmate name, logo, website design and software belong to us. These Terms do not give you any right to use them, except to use the Service as intended.

10. Availability and changes

We work to keep OCRmate fast and reliable, but we do not guarantee that it will always be available or error-free. We may change, improve or discontinue features. If we discontinue a paid plan, we will give you reasonable notice or a prorated refund for time you have paid for and not used.

11. Ending your use

You can stop using the Service and delete your account at any time. First cancel any paid plan from Manage billing, then email us to delete your account. We may suspend or end your access if you break these Terms, or if we are required to by law.

12. Disclaimer

The Service is provided “as is” and “as available”, without warranties of any kind, whether express or implied, including warranties of merchantability, fitness for a particular purpose and non-infringement, to the fullest extent permitted by law.

13. Limitation of liability

To the fullest extent permitted by law, we are not liable for any indirect, incidental, special, consequential or punitive damages, or for any loss of data, profits or business. Our total liability for any claim relating to the Service is limited to the greater of (a) the amount you paid us in the 12 months before the claim, or (b) US $50.

14. Indemnity

You agree to indemnify and hold us harmless from claims that arise from your misuse of the Service, your content, or your violation of these Terms.

15. Governing law

These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada that apply there. Any dispute will be handled by the courts of Ontario, unless the law of the place where you live gives you the right to bring a claim in your local courts.

Nothing in these Terms limits any rights you have under consumer protection laws that cannot be waived.

16. Changes to these Terms

We may update these Terms from time to time. We will change the “Last updated” date above, and for significant changes we will notify account holders by email or on the website. By continuing to use the Service after changes take effect, you accept the updated Terms.
